From Zoom 7.0 onwards, it is possible to give anonymous access to a collection of assets within a Zoom repository. However, a Zoom user account is needed to access everything else in Zoom. As an alternative to managing users in Zoom, users can also be managed using LDAP or Active Directory. In this article, we only talk about managing users in Zoom, along with roles and permissions.<\/p>\n\n\n\n

How permissions, roles, and users are related<\/b><\/p>\n\n\n\n

A permission is a set of actions allowed in Zoom. Permissions are fixed and may not be added, modified or deleted.<\/p>\n\n\n\n

A role is a permission on any one or all projects. Each user in Zoom is mapped to a role along with one or more projects. For a user to be able to access a project, it should be mapped to the user as well as the role assigned to that user.<\/p>\n\n\n\n

These permissions and roles are not applicable to collections in the Web Client.<\/div>\n\n\n\n

What is in the box?<\/strong><\/p>\n\n\n\n

Permissions and roles are preset in Zoom. You cannot add, modify, or delete permissions but you can add, modify, and delete roles as needed.<\/p>\n\n\n\n

The following permissions are available:<\/p>\n\n\n\n

Read<\/strong><\/td>Has read-only access to assets. Cannot add, edit, or delete anything in Zoom (except collections)<\/td><\/tr>
Contribute<\/strong><\/td>Can add and edit files. Cannot delete files.<\/td><\/tr>
Edit<\/strong><\/td>Can add and edit files. Can also delete their own files.<\/td><\/tr>
Edit All<\/strong><\/td>Can add, edit and delete files.<\/td><\/tr>
Administer<\/strong><\/td>Can add, edit or delete files. Can also administer Zoom. This is the highest permission available in Zoom.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n

Managing Users<\/h2>\n\n\n\n

Users in Zoom are either internal (the default) or external. External users are invited using email IDs to access one or more collections in Web Client. The creation and permission management of these external users is only done inside the collection(s) in Web Client. External users may later be converted to internal users or even deleted from the Web Management Console.<\/p>\n\n\n\n

Managing Internal Users<\/h3>\n\n\n\n

In the Web Management Console, click\"\"Manage Accounts<\/span> from under User Accounts<\/span> node in the Admin Menu<\/span> sidebar. This Manage Accounts page lists all internal users registered in your Zoom MAM Server.<\/p>\n\n\n\n

Add Users<\/h4>\n\n\n\n
  1. O<\/strong>pen<\/span>\"\"Manage Accounts<\/span> page by clicking under User Accounts<\/span> node in the Admin Menu<\/span> sidebar.

  2. In the Manage Accounts page, click<\/span>\"\"Add User<\/span> from the User Operations<\/span> drop-down menu (alternatively, open<\/span>\"\"Create New Account<\/span> page from under User Accounts<\/span> node in the Admin Menu<\/span> sidebar).

  3. Set<\/span> the following fields for the new user account:

  4. Click<\/strong> Save<\/span>.<\/li>\n\n\n\n
  5. The new user account is created. As the next step, assign this user to a project(s) as described here<\/a>.<\/li>\n\n\n\n

    Concurrent-only users<\/span> are those that can only login to the Zoom Server using web apps like WebVAB and Web Client. These users cannot log in to the Visual Asset  Browser or the Zoom plugins.<\/p>\n\n\n\n

    Concurrent-only users do not consume any desktop licenses Zoom. With a fixed number of desktop licenses available, you may choose to keep those users as concurrent-only who do not need to use the Asset Browser or the Zoom plugins.<\/div>\n\n\n\n

    Edit Users<\/h4>\n\n\n\n
    1. On the\"\"Manage Accounts<\/span> page (User Accounts > Manage Accounts), select<\/span> a user row from the list of users.<\/li>
    2. Click<\/span>\"\"Edit User<\/span> from the User Operations<\/span> drop-down menu to view the Edit User<\/span> dialog box (alternatively, double-click<\/strong> on the user row to view the same).<\/li>
    3. Update<\/strong> the values in the dialog box. The User Name, Project and Roles may not be changed.<\/li><\/ol>\n\n\n\n
      You may change a user from concurrent-only to desktop and vice versa. The license usage<\/a> is updated accordingly.<\/div>\n\n\n\n

      Delete Users<\/h4>\n\n\n\n
      1. On the\"\"Manage Accounts<\/span> page (User Accounts > Manage Accounts), select<\/span> one or more user rows from the list of users.<\/li>
      2. Click<\/span>\"\"Delete User(s)<\/span> from the User Operations<\/span> drop-down menu.<\/li>
      3. The selected users are deleted after confirmation.<\/li><\/ol>\n\n\n\n

        View User Details<\/h4>\n\n\n\n
        1. On the\"\"Manage Accounts<\/span> page (User Accounts > Manage Accounts), select<\/span> a user from the list of users.<\/li>
        2. Click<\/span>\"\"User Details<\/span> on the User Operations<\/span> drop-down menu.<\/li>
        3. The selected user’s details are displayed in the User Details<\/span> window.<\/li><\/ol>\n\n\n\n

          Managing External Users<\/h3>\n\n\n\n

          In the Web Management Console, click\"\"External Users<\/span> from under User Accounts<\/span> node in the Admin Menu<\/span> sidebar. This External Users page lists all external users registered with your Zoom MAM Server.<\/p>\n\n\n\n

          Convert External to Internal User<\/h4>\n\n\n\n
          1. On the\"\" External Users<\/span> page (User Accounts > External Users), select<\/span> one or more user rows from the list of users.<\/li>
          2. Click \"\" <\/span><\/span>Convert External Users to Internal Users<\/span> from the top bar.<\/li>
          3. The selected external users are converted to internal users after confirmation.<\/li><\/ol>\n\n\n\n

            Delete Users<\/h4>\n\n\n\n
            1. On the\"\" External Users<\/span> page (User Accounts > External Users), select<\/span> one or more user rows from the list of users.<\/li>
            2. Click \"\"<\/span><\/span> <\/span>Delete Users<\/span> from the top bar.<\/li>
            3. The selected external users are deleted after confirmation.<\/li><\/ol>\n\n\n\n

              Role Management<\/a><\/h2>\n\n\n\n

              Using a role, specific permissions can be set for a specific project. That way a user mapped to the role only has those permissions for that specific project. By default, however, roles are set to *, meaning that these permissions will apply to all projects.<\/p>\n\n\n\n

              Roles may be added, modified or deleted. Each role also needs a project assigned to it, otherwise, it is assigned for all projects. Finally, users are mapped to the role. In the Web Management Console, open\"\" Manage Roles<\/span> from under Role Management<\/span> node in the Admin Menu<\/span> sidebar. This page lists all roles set in your Zoom MAM Server.<\/p>\n\n\n\n

              Edit Role<\/h4>\n\n\n\n

              For a role, the project, permission or description may be edited. Click on the project, permission, or description for the role you wish to edit and enter\/select the new value. Check these steps in detail below:<\/p>\n\n\n\n
